PROJECT ASSISTANT

Secteur: Direction

Responsibilities:
• Establish and maintain project electronic and paper files
• Manage petty cash
• Provide support to track accounts payable and receivable
• Liaise with suppliers, including obtaining required 3 price quotes, processing payments and ensuring deliveries
• Monitor project supplies at both headquarters and regional offices
• Manage logistics for consultants
• Answer phones and deliver messages
• Monitor project correspondence, including drafting letters for signature,
• Ensure proper maintenance of project equipment, including periodic anti-virus software installation and updating, equipment cleaning, etc.
• Ensure travel expense reports are completed per RTI requirements
• Manage office physical conditions including maintenance of office
• Organize conferences and coordination meetings pertaining to program activities
• Provide support to regional administrative assistants as needed

Education and Experience
• AA in office management or secretarial certificate
• 5 years of experience in project administrative support

Knowledge, Skills and Abilities
• Superior integrity, work habits, and organizational skills
• Fluent French oral and written language skills; fluency in English a plus
• Knowledge of computer software such as Word, Excel, PowerPoint
• Ability to communicate and liaise verbally and in writing with partners/suppliers/visitors and staff, and interpret/respond clearly and effectively to verbal or written instructions
• Results-oriented, team player and excellent interpersonal skills
